Space Management at SUNY Plattsburgh

At SUNY Plattsburgh, space is a valuable, shared, and limited resource that supports the mission and operations of the university. To ensure transparency and consistency, the new space management process provides a clear, centralized system for submitting, tracking, and assessing space requests through Team Dynamix.

The process applies to several types of requests:

New Spaces — Requesting additional space to support departmental activities or growth.
Changes to the Structure of a Space — Requesting physical modifications such as altering walls, doors, layout, paint, lighting, etc.
Space Use Changes — Requesting a change in a space’s function or designation (e.g., office to storage, lab to classroom).
Office Moves — Requesting relocation of faculty or staff from one office to another.

This process ensures that all space-related decisions are data-informed, equitable and aligned with the university’s strategic priorities.

Space Request Process
1. Submission — The requestor completes the Space Request Form and submits it for review.
2. Initial Review — The dean or department head reviews the request. If denied, the process ends. If approved, the request moves to Step 3.
3. Scope Development — The assistant director of facilities meets with the requestor to review and define the scope of work associated with the request.
4. Space Committee Review — The finalized scope of work is submitted to the Space Planning Committee for review and a determination to approve or deny is made.

5. Zero-Cost Requests — If the scope of work has no financial cost ($0), the request moves to the respective vice president for review and final approval. The process concludes at this step.
6. Requests with Financial Impact — If the scope of work exceeds $0, the request moves to the respective Vice President for review and a determination to approve or deny is made.
7. Final Approval (if applicable) — If approved by the vice president, the vice president for administration and finance will present the request to the President’s Cabinet for final approval or denial. These reviews occur quarterly.
When to Submit a Work Order
Work orders are submitted to request preventative maintenance and repair in our buildings and grounds. Examples which require a work order and not a space request:
- A broken window blinds
- Moving of office furniture between rooms and/or buildings.
- Moving of empty filing cabinets
- Large event setup
